Why does EMC process data?

EMC needs to be able to collect data on customers and users in order to facilitate participation in training programmes, and to contact with them regarding further educational opportunities. IP addresses are monitored for the safety of EMC’s software and network. Data will not be used for any purpose other than stated and will not be sold or given to third parties. EMC will only collect any data that is necessary for the purpose intended.

Contact data for promotional purposes is stored on WordPress and email contact lists are set up to allow contacts to unsubscribe automatically from or update preferences on mailing lists.

Your academic data is stored securely on Flex Learn and Microsoft 365.

Personal data is stored on Flex Learn and is accessible to EMC employees who have administrative privileges. Minimal identifying data may exist on the computers of EMC employees as necessary for their administrative and pedagogical roles. EMC requires a commitment from all employees that no data be kept longer than absolutely necessary and that all data pertaining to EMC customers will be deleted upon termination of work with EMC . Employees are bound by confidentiality and may not share data with anyone outside of EMC . The accuracy of the data will be monitored and updated by EMC periodically, however the student is responsible for updating their own contact information if changes occur.

The data subject has the right to access, erasure, correction, and restriction of data processing and, in certain circumstances, the right to portability. Academic results, qualifications and core student record (including identity and study progression) will be kept on EMC servers and records permanently as per Safeguarding in Education legislation. For all other data, a formal request for removal can be made by the data owner.

Should EMC be contacted by a prospective employer, we are obliged under the Safeguarding in Education Legislation, to confirm a qualification. No other personal details will be shared.

Data may be transferred within EMC between Norway and Ireland.

EMC undertakes to use the best possible protections to ensure the security of personal data. In the event of a data breach, EMC undertakes to follow the GDPR breach of data notification process. 

For all data protection complaints, the data subject can contact the relevant authorities in both Ireland and Norway.

VERIFICATION OF IDENTITY OF THE ADULT LEARNER POLICY

At EMC we are required to ensure that the adult learner enrolled in our programmes is the same adult learner who participates in and completes the course and thus receives the academic credit. The following outlines the ways in which we do this:

  1. Adult learners must include a copy of official photo identification in their CV such as a passport/driving license/government ID card. This must be submitted prior to starting the programme.
  2. Adult learners have individual secure logins and passwords to access their course on our learning platform Flex Learn.
  3. During online classes students are required to have their cameras on.
  4. When adult learners partake in Classroom Practice the supervisor will verify their identification.
  5. At the end of the diploma, adult learners are required to take a Final Diploma Assessment (FDA). This closed book exam takes place in-person at the Practical Exam workshop and consists of a Multiple Choice Exam. This exam is invigilated by EMC staff.

All information that is supplied to us by the adult learner, including photo identification is held in a EMC password protected folder.

EMC will notify the adult learner of any projected additional changes associated with verification of adult learner identity at the time of enrolment.
